Setting your cancellation terms.
Your cancellation terms decide what a client gets back. They are yours to set, and each booking keeps the terms it was sold under.
If I change my terms, which bookings do they reach?
The terms in force when a client books are copied onto the booking, and a cancellation is priced from that copy. You can change your terms at any time; the change reaches what you sell from then on and never a seat already sold.
If you write none of your own, you sell under the default, Standard: “100% back 1 day ahead or more; 50% back 12 hours ahead or more. 100% back if conditions are called.”
How much comes back when a lesson is cancelled?
- The client cancels
- The share your terms give for the notice left, from the moment they cancel to the start of the lesson. A client cancels from their booking's own page, and is shown the amount before they confirm.
- You call the lesson off
- Everything paid comes back, whatever your terms say about notice.
- You call it off for conditions
- The share your terms set for conditions: water too flat or too big, a closed trail, weather nobody should teach in. You can offer each client another time instead, and hold their seat on it for up to 48 hours.
- The client does not turn up
- Nothing is sent back automatically. Where your terms give something back for a no-show, returning it is yours to do from your Stripe dashboard.
What comes back on a lesson paid with credits or a membership?
A booking paid with lesson credits gets credits back rather than money, in the same share rounded down to whole lessons. A visit from a membership comes back on a cancellation your terms would refund in full, and is used on any other.
Can I charge a fee for cancelling late or not turning up?
Your terms may state a late-cancel fee and a no-show fee, each between $0.50 and $500.00. They apply only to a lesson an unlimited membership pays for, and the client agrees to them when they sign for the lesson. A fee is charged to their card on file 24 hours after it arises, and until then you can waive it.
The terms page sets out every case, including cover a client buys at booking and gifts.
