Palaestral

The record of everyone you teach.

Palaestral is booking, payments and client-record software for an independent instructor who sells their own time — surf, yoga, running, strength. What each client booked, signed and paid, the lessons they have left and what you noted after each session, still there when they book again next summer. Bring your list in from a spreadsheet, and take all of it with you whenever you choose.

Your spreadsheet
Its columns are matched to what they hold, and you see what every line will become before anything is written.
Your notes
Each is kept 24 months from the day it was written, and nobody but you sees it.
Your copy
Everything Palaestral holds about you, in one file: each record a spreadsheet, each client's notes a file of their own, each signed waiver a page.

Sample data. Not a real instructor or client.

One record for each client

Anybody who books a lesson with you, buys a pack from you, is given lessons with you, pays for a month of a membership or comes over in a list you bring is your client, on one record of what they booked, signed and paid. Somebody who bought a pack and has booked nothing yet is on your list too.

Once a client has come on 3 different days, Palaestral knows their usual gap between visits, and lists them for you when they fall well behind it with nothing booked. The list is for you to read, and it sends nothing.

A client can ask for their record to be deleted, and the owner of the place they booked with carries it out: your notes about them and their personal details go, and signed waivers and payment records stay, for the reasons the privacy page gives.

Your notes

Write a note after a session about what to work on next, and it is on the client's record when they come back. Each note is kept 24 months from the day it was written, long enough to see a seasonal client through an off-season.

Your notes are yours, and so are your lesson plans and payment records. A studio you teach at sees its own schedule and who is booked into it, and none of those.

Lessons left

The lessons a client holds with you are on their record, wherever they came from: a pack they bought, a gift, a code that covered the whole price, lessons you gave them, or a balance you brought over.

A balance is spent only by somebody signed in at the address it belongs to, so typing another person's email address spends none of theirs. You can give lessons to anybody who is your client, and the holder is told 14 days before a balance expires.

Bringing your list over

Upload a spreadsheet of the people you already teach, up to 1,000 rows at a time: their names and email addresses, your notes about them and the lessons each has left. You see what every line will become before anything is written, and nothing is written that you were not shown.

The name you give somebody is yours alone, and nobody else they book with sees it. Lessons carried over are ones a client paid you for elsewhere, and they are spent on a lesson you sell by pack. Nobody in the list is told anything unless you ask, and for 14 days, while nobody has been told and none of its lessons has been spent, an import can be undone. The terms say what you state about the people in it.

Taking it with you

Ask for a copy of everything Palaestral holds about you and it arrives as one file: your clients, your notes, your lesson plans, every signed waiver and every payment, each record a spreadsheet and each waiver a page.

The email saying it is ready links to your account rather than to the file, so a forwarded email opens nothing, and the file waits 7 days. You can close your account whenever you choose: new bookings stop at once, your pages come down, upcoming lessons are called off and refunded in full, and each client is told. For 30 days you can reopen it as it was.

What stays with you

  • Every client's history, in one record of what they booked, signed and paid.
  • Your notes, which nobody else sees, for 24 months from the day each was written.
  • The lessons each client has left with you, wherever they came from.
  • A copy of all of it whenever you ask, in spreadsheets and pages that open without Palaestral.

  • Packs, memberships and weekly places
