Palaestral

Lessons by the month, or by the pack.

Palaestral is booking, payments and client-record software for an independent instructor who sells their own time — surf, yoga, running, strength. A membership charges one price a month for its visits, a pack sells lessons to use as they are booked, and a weekly place keeps a client's seat. Every visit and lesson is counted from the bookings it paid for, and given back on your terms.

Each month
One price a month for its visits, charged again on the day the paid month ends, until the member cancels. Visits left at its end do not carry over.
A late cancel
Cancelled where your terms give back less than the whole lesson, so the visit is spent, as a lesson from a pack would be.
A visit given back
Cancelled in time for your terms to give back the whole lesson, or called off by you: the visit returns, to book again inside the month.

Sample data. Not a real instructor or client.

A membership

You set a price a month, a number of visits or unlimited ones, and the lessons it covers. A client joins signed in and pays the first month on Stripe's own page, on your Stripe account, and their card is charged the same price on the day each paid month ends, until they cancel.

The price, the visits and the lessons are fixed when a client joins, so a change you make reaches only people who join after it. A visit pays for one seat, for the member, booked signed in, in a lesson that starts inside a month already paid for; visits do not carry over, and a month whose payment fails gives none until it is paid. Stripe's own fee for its Billing service is charged to your Stripe account.

Pausing and cancelling

A member can pause for up to 90 days. No month is charged and none gives visits while it is paused, the month already paid for stays usable to its end, and it resumes on its own on the day they chose.

A member can cancel at any time and keep the month already paid for, with nothing more charged, and you can end a membership the same way. Pausing and cancelling refund nothing: a refund of a month is yours to give, from your own Stripe dashboard, and a month refunded or disputed takes its unused visits with it.

Lesson packs and gifts

A pack is a number of lessons bought at once and used as they are booked. A booking paid with a pack's lessons is refunded in lessons, in the share your terms give, rounded down to whole lessons, and a holder is told 14 days before unused lessons lapse.

Any pack can be bought as a gift. A gift's lessons never expire and carry no fees, whatever the pack's own validity says, and are used by the person it was sent to, signed in at that address. A pack you stop selling is retired rather than deleted, so every balance still shows what bought it. The yoga page draws a pack.

Weekly places

A client can make a lesson they have booked weekly: the same lesson, weekday and hour each week until they end it. Each week is booked for them the night your schedule opens it, and holds its seat until 24 hours before the lesson.

A week is paid for 72 hours before its lesson: from a membership visit, else lesson credits, else the client's card on file where they allowed it, never above the price they agreed to. A week nothing can pay for gives its seat back, and they are told. The running page draws a weekly place.

Cards on file

A client who has booked with you can save a card on Stripe's own page, on your Stripe account, one card for you. Saving it charges nothing and allows nothing by itself: each use is agreed to separately, when it is offered.

The card number never reaches Palaestral. A card that a membership renews on, that a weekly place may be charged to, or that a fee not yet charged is owed on can be replaced but not removed until that ends.

Cancelling late, or not coming

Your terms can state a late-cancel fee and a no-show fee. They apply only to a lesson an unlimited membership pays for, since such a visit gives up nothing else; a lesson paid by card, by credits or by a counted visit keeps what its refund terms say.

The client agrees to them when they sign for the lesson, naming the card they are charged to. A fee is charged 24 hours after it arises, and you can waive it until then; an absence marked by mistake and corrected withdraws it, and a fee the card refuses is not tried again.

What stays with you

  • The price, visits and lessons each member joined on, which a later change never reaches.
  • Every visit spent or given back, counted from the bookings themselves.
  • Each pack and the lessons it sold, kept after you stop selling it.
  • Every agreement a client gave to a use of their card, with the version of the words they agreed to.

  • Packs, memberships and weekly places

Three ways to sell more than one lesson: a pack of lessons used as they are booked, a membership charged monthly, and a weekly place kept until it ends.

  • Gift lessons

Any of your lesson packs can be bought for somebody else: lessons that never expire and carry no fees, used by the person they were sent to.

  • Cancellation terms

How much comes back when a client cancels, when you call a lesson off, or when conditions do: the terms you set, copied onto each booking when it is sold.
